Policies and Procedures
Safeguarding
Nicola Nurtures Ltd is committed to keeping all learners safe. We follow national safeguarding guidance and take action whenever a concern is raised. If a learner is at risk, we work with the appropriate agencies to ensure their safety. All staff follow clear procedures for reporting concerns.
Record Keeping & Privacy
We collect only the information needed to deliver learning safely and effectively. This includes learner details, assessment evidence and—where consent is given—photos or video for assessment. We store all information securely and keep it only for as long as required. We share data only when necessary, such as with AQA for accreditation or safeguarding agencies. Learners and parents can request access to their data or ask for corrections.
Health & Safety, Risk Management Summary
We make sure all learning environments and activities are safe. Risk assessments are completed for sessions, equipment is checked, and first aid arrangements are in place. We hold appropriate insurance, including public liability and professional indemnity. Any incidents are recorded and reviewed to improve future practice.
Cancellation Policy
If a session needs to be cancelled, we will notify parents/carers as soon as possible. Refunds or rescheduled sessions are offered where appropriate. If a learner withdraws, we provide clear information about any fees that may or may not be refundable.
Complaints & Appeals Policy
We aim to resolve concerns quickly and fairly. Parents, carers or learners can raise a complaint, which will be reviewed by the centre lead. If the concern relates to assessment, learners may request an appeal. All complaints and appeals are handled respectfully and recorded securely.
Assessment Integrity Policy (Malpractice, Maladministration, Conflict of Interest & EDI)
We ensure all assessments are fair, consistent and unbiased. Learners must submit their own work, and evidence must be genuine. Staff follow strict procedures to avoid errors or conflicts of interest. We provide reasonable adjustments where needed and ensure all learners have equal access to learning. Any concerns about assessment integrity are investigated and reported to AQA when required.
Data Protection Policy
We comply with UK GDPR and the Data Protection Act 2018. Personal data is collected only when necessary and stored securely. Individuals have rights to access their data, request corrections or withdraw consent for images. Our full privacy policy explains how data is used and protected.
